JOB DESCRIPTION

REPORTS TO:

CEO

The Executive Assistant is responsible for managing the schedules, tasks and communications of the CEO. Their duties include responding to and prioritizing emails and phone calls, gathering documents to prepare for meetings and coordinating travel arrangements. Responsible for providing a range of administrative support and coordination of projects that interact with all layers of every company, executive teams members, management, and all other staff members.

Executive Assistant is responsible for maintaining high standards of professionalism, efficiency, personal communication, discretion, and independent judgment. In working with internal and external contacts, the Executive Assistant deals with a wide range of highly sensitive issues and must have the ability to observe and maintain a high degree of confidentiality.

The chosen candidate for this position will have strong organization skills, attention to detail, strong completion skills and effective communication. Strong independent thinking is essential, this candidate will need to be able to retain information and deliver to appropriate parties.

SPECIFIC RESPONSIBILITIES AND DESIRED SKILLS:

- Advanced computer skills including the use of word processing, spreadsheets, e-mail.

- Excellent oral and written communication (including proofreading).

- Ability to multi-task and meet deadlines.

- Strong Customer Service skills.

- Performs standard office tasks such as answering telephones, filing, ordering of supplies, faxing, and copying.

- Maintains positive relationships with faculty, staff, consultants, bankers, and vendors.

- Able to coordinate the CEO’s schedule, organize Zoom meetings, calendar events, and run errands.

MINIMUM QUALIFICATIONS:

- Experience working in administration.

- Excellent working knowledge of computer systems, Zoom, Outlook, Excel, Mac.

- Strong critical thinking and decision-making skills.

- Ability to prioritize to meet deadlines.

- Strong task completion skills

This position will be full-time, Monday-Friday, and will report locally.

Job Type: Full-time

Salary: $40,000.00 - $50,000.00 per year

Education:

  • Associate (Preferred)

Experience:

  • Office Admin: 2 years (Preferred)
  • Personal assistant: 1 year (Preferred)

Willingness to travel:

  • 25% (Preferred)

Work Location: In person
